Responsibilities

 

Performs a variety of activities in support of the Facilities organization. Performs normal office functions such as receiving visitors; setting up and maintaining files; interviewing callers and making proper referrals; arranging meetings and conferences; supporting meeting catering ordering, setup and clean up; and receiving, referring, or answering mail. Answers questions relating to office operations and established policies and procedures. Gathers, collects, records, tracks, and verifies data and information from multiple sources. Compiles reviews and analyzes data. Provides data and information to others on functional unit processes and procedures.

  1. Performs front desk, general clerical and administrative duties to include but not limited to: photocopying, faxing, mailing, filing, receiving visitors, answering telephones and transferring calls to appropriate staff members.
  2. Creates and modifies documents and spreadsheets.
  3. Schedules and coordinates meetings and conferences; including catering scheduling, setup, cleanup, etc.
  4. Sorts and distributes mail.
  5. Replies by phone or email when necessary, and responds to regularly occurring requests for information.
  6. Acts as a liaison with other departments and outside contacts, including high-level staff members.
  7. Handles confidential and non-routine information and explains policies when necessary.

Qualifications
High School Diploma (with 5 – 8 years or commensurate experience)
